Launch of the GNC IM toolkit

The first version of the Information Management (IM) toolkit for the Nutrition Clusters is now launched. The Nutrition Cluster IM Toolkit was developed by the Global Nutrition Cluster through the partnership with ACF-UK in consultation with GNC Rapid Response Team, Country Cluster IMOs and the GNC Cluster Coordination Team. Currently the IM Toolkit consists of 20 tools (plus five additional tools that are being finalized). The tools are presented into five sections and they support the different phases of Humanitarian Programme Cycle (HPC) and a section with general / administrative tools has also been added.

IM  checklist – This checklist is developed  to help Country Nutrition Cluster Coordination Teams (CNC-CTs) at national and sub-national levels as well as Global Nutrition Cluster Coordination Team (GNC-CT)) in  reviewing the Country Nutrition cluster performance in fulfilling it information management (IM) functions. The tool can also be used for self-assessment as well as for external audit. The tool also helps to ensure the consistency and completeness in carrying out an IM function by cluster countries. The checklist only cover standard IM outputs/functions, therefore depending on the country cluster context,  the Coordination Team might opt to include and use additional IM tools and outputs. It is recommended that all cluster countries use this checklist to assess their IM functions and identify how to improve on the functions they have gaps in. The checklist contains the links to all tools in the IM toolkit below and can be used a reference document.

Needs assessment and analysis

  • Survey database – Is an adaptable nutrition cluster surveys database in Excel to be used presenting Nutrition information that can be for extracted for analysis from the following type of surveys: anthropometric nutrition surveys, IYCF surveys, micronutrient surveys and coverage surveys.
  • Key datasets – A list of key datasets and potential sources of information that should be available in the nutrition clusters for decision making and production of information materials. All datasets are classified according to the following categories: geodata, food security, WASH, health, nutrition, people.

Strategic response planning

  • M&E Framework – Adaptable Monitoring and Evaluation framework in Excel to be used during HRP development and implementation process. This Framework is to be adapted  at country level and what should be monitored and which cluster progress needs to be tracked towards targets in the HRP is to be agreed with cluster partners at country level. The framework also contains an example of a country Monitoring and evaluation framework.
  • 4W – Adaptable 4W in Excel to be used in nutrition clusters to gather and analyses information on operational presence of the nutrition cluster partners, it include guidance for adaptation at country level.
  • Caseload calculation tool – An Excel workbook designed to aid calculation of caseloads, targets and supplies for Nutrition Cluster interventions as per available guidance
  • Nutrition Cluster Humanitarian Indicators registry and Needs analysis framework – Nutrition Cluster indicators registry includes Needs Assessment and analysis framework, as well as two sets of indicators to accompany it: needs assessment and performance monitoring indicators. It is recommended that the nutrition cluster use or adapt the indicators for their response, including for Humanitarian Response Plan monitoring and for individual projects.  To facilitate use of indicators, Global Nutrition Cluster has developed “Humanitarian Response Plan tips” (under finalization) where each areas of interventions linked to the specific indicators from this database.

Resource mobilization

  • Financial tracking tool – An adaptable MS Excel template to help Nutrition Clusters to track funding requirements, funding received / committed from different sources and funding gaps for both UN agencies and implementing partners

Implementation and monitoring

  • Partners reporting tool – Adaptable Excel template for partner reporting. The template includes various possible interventions and suggesting indicators to monitor and should be adapted in country based on the Cluster activities in the Humanitarian Response Plan by removing not relevant blocks and possibly adding/changing some indicators. While developing the monitoring and reporting system in country, even if not using the tool, it is recommended to review it as it has a number of indicators that has been selected at global level based on experience from different countries and incorporates best practices in selecting monitoring indicators (note: while adapting the tool remember to keep as “light” as possible). The tool consists of two templates: (1) the template for reporting of one site’s (or admin level) activities and (2) the template for reporting of up to 10 site’s (or admin level) activities
  • BMS Code violation tracking tool – consists of two parts (in WinZip archive): (1) MS Word form for tracking of violation of the International Code of Marketing of Breastmilk Substitutes (to be adapted in country as needed and shared in the pdf format with partners. In addition you may wish to develop an online form (such as through surveymonkey.com) to facilitate reporting of the Code violations, and (2) MS Excel database, which is an internal document for the Nutrition Cluster (and designated BMS violation tracking lead agency) to compile code violations for further consolidation, analysis and  follow up. It should not be shared widely as it contains sensitive information, such as who reported the Code violation.
  • Nutrition Cluster Bulletin template – A MS Publisher template with suggested layout and topics to be included in the Nutrition Cluster bulletin.
  • IM update for nutrition cluster meetings ppt template – Adaptable .ppt presentation template for the nutrition cluster meetings to present IM updates, that includes main IM topics and suggestions on how better to present them
  • Country Website guidance for HR.info platform – This guidance is developed to support Nutrition Cluster IMOs in developing the structure and content of the country nutrition cluster website on the humanitarianresponce.info (HR.info) platform version 2. In order to promote coherence of the use of common platform for information sharing across cluster and within the humanitarian response, the GNC recommends that country clusters use the HR.info as the primary platform for information exchange and for hosting country cluster website
  • List of free Online Survey Tools – A list of most popular free online survey tools with comparison of their different features to facilitate choice of online survey tool for the cluster if needed
  • List of online mapping tools – A list of web (online) mapping tools with comparison of their different features to facilitate choice of online mapping tool for the cluster if needed

General/admin tools:

  • ToR for the Nutrition Cluster IMO – Generic template for the Terms of Reference for Nutrition Cluster IMO, including major tasks and responsibilities, qualifications and competencies to be used at country level.
  • IMO hand over template – Adaptable IMO handover report template to be used in nutrition clusters for each handover between IMOs.
  • Nutrition Clusters Style Guide – Recommended by the GNC Style guide for country clusters that includes suggested country nutrition cluster logo, recommendations for text and table formatting and color palettes and other information with the objective to ensure that documents and materials produced by the Country Nutrition Clusters are easily recognizable, in addition to promoting consistency in format and style. Specific templates have been developed to accompany the style guide and include Letterhead template (album and portrait orientation), PowerPoint presentation template, Excel color palettes template.
  • Nutrition cluster meeting minutes template – Adaptable meeting minutes template to record summary of discussions and main action points at the meetings. Can be used for any type of meetings (cluster meetings, working group meetings, bilateral meetings, etc.)
  • Nutrition cluster meeting agenda template – Meeting agenda template to be shared with partners prior every meeting.
  • Contact list template – Adaptable contact list template in MS Excel to maintain contact details of cluster partners and other relevant humanitarian partners, including members of technical working groups, Strategic Advisory group, etc.
